Automating Client Milestone Notifications with n8n

Keeping clients informed about their project progress is essential for building trust and reducing support inquiries. Instead of manually sending emails every time a milestone changes, we built an automated notification system using n8n.


The Problem

When managing multiple client projects, tracking milestones manually becomes tedious:

  • Clients want to know when work starts on their project
  • They want updates when milestones are completed
  • Manual emails are time-consuming and easy to forget
  • Lack of communication leads to unnecessary support tickets

The Solution: Automated Milestone Notifications

We implemented a system that automatically notifies clients when:

  1. A milestone starts - Client receives an email when we begin working on a specific phase
  2. A milestone is completed - Client gets notified immediately when a phase is done
  3. Progress tracking - Each email includes overall project progress percentage

How It Works

1. Database-Driven Notifications

When an admin changes a milestone status to "In Progress" or "Completed", a notification record is created in the database:

2. n8n Workflow Processing

An n8n workflow runs every 5 minutes to:

  1. Query pending notifications from our API
  2. Send personalized emails via Resend
  3. Mark notifications as sent to prevent duplicates

3. Client Portal

Clients receive a unique link to view their project progress in real-time, showing all milestones with their current status.
